What gets saved

A saved workflow is a snapshot of the configuration: the ordered list of steps, each step's settings (columns, rules, keep strategies), and your chosen output format (.csv or .xlsx). It's not a snapshot of any particular file or result.

When you run a saved workflow, you upload a fresh file and the saved chain of steps runs on it. The file, the output, and the run history are separate. Saved workflows are the recipe; each run is a meal.

Saving a workflow

After adding at least one step, click Save workflow in the workflow bar and give it a descriptive name ("CRM import cleanup", "Weekly lead extract", etc.). The save dialog shows a preview of the steps so you can confirm you're saving the right thing.

Saved workflows appear in two places: the Load dropdown inside Workflow Builder (quick access to pick up where you left off) and the Workflows page (/app/workflows) in the app, where you can see all saved workflows with their step list, output format, and last-updated timestamp.

On the Workflows page you can rename, open (takes you back to the builder with that workflow loaded), or delete any saved workflow. Deleting is permanent and asks for confirmation first.

Running a saved workflow

Two ways to run a saved workflow. From Workflow Builder: click Load, pick the saved workflow from the dropdown, then upload your file and click Run. From the Workflows page: click Use on the saved workflow. Operelio opens the builder with the steps pre-populated, then you upload a file and run.

The exact chain of steps runs in order against your new file. Results go to /app/jobs as a standalone run; the saved workflow's configuration is unchanged by running it.

Editing a saved workflow

Open the saved workflow (Load dropdown or the Use button on /app/workflows). The builder shows the workflow's name at the top with a "Loaded" indicator. Complex steps (Find & Replace, Filter & Extract, Column Manager) load as "Needs review". Open them, check the settings still match your intent, and click Confirm step. Simple steps (Clean Headers, Deduplicate, CRM Formatter) auto-confirm.

Make your changes: add steps, remove steps, reorder with the up/down arrows, change settings on any step. Click Save workflow again to update. The confirmation button says "Update" instead of "Save" when you have a saved workflow loaded, and it overwrites the existing record.

Managing saved workflows

The Workflows page at /app/workflows shows every workflow you've saved, sorted by most recently updated. Each row displays the workflow name, the ordered list of steps as pills, the last-updated timestamp, and the configured output format.

Actions per row: Rename (inline edit, Enter to save, Esc to cancel); Use (opens the builder with the workflow loaded and ready for a new file); Delete (permanent; confirmation modal shows the workflow name and step count).

Pro plans save up to 10 workflows; Team plans up to 50; Agency plans up to 200. If you hit the limit, the Save workflow button returns an error asking you to delete one first or upgrade to a higher tier.

Naming and organizing

Give saved workflows descriptive names; you'll thank yourself later. Good names: "HubSpot weekly contacts import", "Salesforce lead cleanup (UK)", "Newsletter export deduper". Bad names: "Workflow 1", "Test", "New workflow".

If multiple saved workflows share most of their steps (e.g. one for HubSpot, one for Salesforce, one for Pipedrive), keep them as separate saved records. Workflow Builder doesn't have branching. One saved workflow is one linear chain.

Frequently asked questions

How many workflows can I save?

Pro saves up to 10 workflows. Team saves up to 50. Agency saves up to 200. Free users cannot save workflows (Workflow Builder itself requires Pro, Team, or Agency).

Can I duplicate a saved workflow?

Not directly. Workaround: open the workflow so it loads into the builder, click Detach in the workflow bar to disconnect from the saved copy, change the name, and click Save workflow. That creates a new saved workflow with the same steps. The original stays intact.

Does editing a saved workflow affect past runs?

No. Past job runs in your history keep the configuration they ran with, even if you later edit the saved workflow. The saved record is the template for future runs only.

Can I share a saved workflow with a teammate?

Saved workflows are per-user; each user has their own library. There's no team-level sharing yet. If you need the same workflow across an account, contact us about team features.

If I downgrade to Free, do my saved workflows disappear?

They're not deleted; they become read-only. You can see them on the Workflows page but can't run or edit them until you re-upgrade. Downgrading preserves your data.
