Best CRM data cleaning tools (2026).
Nine data cleansing tools that CRM teams actually shortlist, each built for a different moment: before import, inside the CRM, or across the whole stack. Below is what each one is best at, its current pricing checked against the vendor's own site, and one honest limit, so you can match the software to the job in front of you.
Nine tools, side by side.

|---|---|---|---|
| Operelio | Cleaning and formatting files before CRM import | $39/mo flat, free plan | Free plan |
| Insycle | Continuous in-CRM hygiene and automation | Per record, from about $25/mo | 14-day trial |
| DemandTools | Salesforce-native dedupe and mass updates | Not published, sales-led | No free plan |
| Dedupely | In-CRM dedupe for HubSpot, Salesforce, Pipedrive | From $40/mo by record volume | 7-day trial |
| Cloudingo | Salesforce dedupe and merges at scale | From $2,500/yr, annual | 10-day trial |
| Clearout | Verifying email addresses before they land | From $23/mo for 3,000 credits | 100 free credits |
| Datablist | A free browser spreadsheet and enrichment | Free, paid from about $25/mo | Free plan |

| Openprise | Enterprise RevOps data orchestration | From $35,000/yr, sales-led | No free tier |
Operelio, best for cleaning before import
Operelio cleans, verifies, and formats a file before it reaches your CRM, then pushes a CRM-ready import to HubSpot, Salesforce, or Pipedrive on your click. It starts free and then costs a flat $39 a month, with no per-record metering. It works on files, though, not as a robot inside your CRM, so continuous in-CRM automation is out of scope.
Insycle, best for continuous in-CRM hygiene
Insycle connects to your CRM and keeps records clean over time, with scheduled jobs and real-time hooks into HubSpot Workflows and Salesforce Flows. Pricing is per record, roughly $1 to $2 per 1,000 records a month. The catch is the pricing: the effective 25,000-record floor and per-record model can price out small or pre-import teams, and there is no free plan.
DemandTools, best for Salesforce mass updates
DemandTools, from Validity, is a Salesforce-native app for deduplication, mass data loading, standardization, and bulk record updates. It is long established and well reviewed on the AppExchange. Two things a buyer should know as of July 2026: Validity no longer sells it as a standalone product, having folded it into the Validity Engage platform as its contact data quality capability, and its old pricing page now redirects to the homepage, so there is no published price and no self-serve trial. It also works on Salesforce records rather than loose files, so a CSV sitting on your desktop is outside its reach.
Dedupely, best for in-CRM dedupe
Dedupely merges duplicate contacts, companies, and deals inside HubSpot, Salesforce, or Pipedrive, and can auto-merge on a schedule. It starts at about $40 a month and scales by record volume. It does deduplication and merging only, so verification, formatting, and filtering need other tools.
Cloudingo, best for Salesforce at scale
Cloudingo is a Salesforce-native tool for finding, merging, and preventing duplicates across a whole org, with survivorship rules and undo. It starts at about $2,500 a year, billed annually, and also supports Adobe Marketo. It is Salesforce and Marketo only, on an annual commitment, so it is no help on HubSpot or Pipedrive.
Clearout, best for verifying addresses
Clearout is a cloud email verification service with an API, an email finder, and integrations into HubSpot, Zoho, Pipedrive, Close, and the main email platforms. It is credit-based rather than per seat, from $23 a month for 3,000 credits or about $0.008 a credit pay as you go, and new accounts get 100 free credits with no card. It verifies and enriches, though; it will not restructure a spreadsheet or fix your column mapping. Worth knowing that Salesforce is still listed as an upcoming integration rather than a live one.
Datablist, best for a free browser spreadsheet
Datablist is a browser-based spreadsheet with deduplication, cleaning, and a large enrichment library, free to start with paid plans from about $25 a month. It handles very large lists in the browser. Its built-in CRM push is Pipedrive, though; reaching HubSpot or Salesforce takes Zapier or Make, and team features are lighter.
WinPure, best for self-hosted matching
WinPure Clean & Match is a no-code data quality suite you run in your own environment, on Windows or deployed to Azure or AWS, covering profiling, cleansing, fuzzy matching, and entity resolution across databases, files, Salesforce, and Dynamics. That makes it the pick when the data cannot leave your network. Its entry Small Business edition is published at $185 per user a month billed annually, while the Professional and Enterprise editions carry no price at all, so anything beyond the smallest team means a sales call. Per-user pricing on installed software also means cost tracks headcount rather than how much data you actually clean.
Openprise, best for enterprise RevOps
Openprise is a RevOps data and automation platform that cleanses, dedupes, enriches, scores, and routes data across the whole stack on an ongoing basis. Pricing is sales-led and starts around $35,000 a year. It is enterprise software with the setup and cost to match, not a self-serve tool for a small team or a one-off file.
The free options, honestly
Most lists of free CRM data cleaning tools are really lists of free trials. Of the nine here, three have a genuine free tier you can keep using. Operelio’s free plan runs real cleanup jobs on a file and pushes the result, with monthly limits rather than a countdown. Datablist is free to use in the browser. Clearout gives every new account 100 verification credits with no card. Insycle, Dedupely, Cloudingo, and WinPure offer time-limited trials instead, and DemandTools and Openprise start with a sales conversation. If you only need to clean one list this quarter, a free tier is genuinely enough, and you should not let anyone tell you otherwise.
How to choose
Match the tool to the stage. Before the data reaches the CRM, Operelio or Datablist do the work on the file, and Clearout checks the addresses. Once records are in the CRM and duplicates are the problem, Dedupely covers the big three CRMs while Cloudingo and DemandTools go deep on Salesforce. For always-on hygiene of a live database, Insycle. For data that is not allowed to leave your own network, WinPure. For enterprise orchestration across many systems, Openprise. Most teams do not need all of these; they need the one that matches where their data already lives. Two more names come up often enough to be worth placing. Data Ladder, and its DataMatch Enterprise product, is on-premise matching and cleansing software in much the same slot as WinPure; it publishes no pricing at all but does offer a 30-day trial with no card. ZoomInfo Operations is the tool that used to be RingLead, acquired by ZoomInfo and now sold as part of their platform, which puts it alongside Openprise as enterprise orchestration rather than something a small team buys on a card.
CRM data cleansing, answered.
What is the best CRM data cleaning tool?+
There is no single best; it depends on the stage, your CRM, and your budget. For cleaning and formatting a file before import, Operelio fits and starts free. For continuous hygiene inside a CRM, Insycle. For in-CRM dedupe, Dedupely across the big three CRMs, or Cloudingo and DemandTools for Salesforce. For verifying addresses, Clearout. For enterprise orchestration across the stack, Openprise. For matching on your own servers, WinPure.
What is the difference between data cleaning and data cleansing?+
Nothing. They are the same job under two names, and vendors use them interchangeably. You will also see data scrubbing, data hygiene, and data quality describing the same work. What actually differs between tools is where the work happens: on a file before import, or on records already sitting in your CRM.
What is the best free CRM data cleaning tool?+
Operelio, Datablist, and Clearout are the only three here with a genuine free tier rather than a trial. Operelio's free plan runs whole cleanup jobs on a file; Datablist is a free browser spreadsheet; Clearout gives 100 free verification credits at signup with no card. Insycle, Dedupely, Cloudingo, and WinPure are time-limited trials, and DemandTools and Openprise are sales conversations.
Which tools clean data before it reaches the CRM?+
Operelio cleans, verifies, and formats whole files before import, and Datablist is a browser editor you can use the same way. Clearout verifies addresses before they land. Dedupely has a narrow CSV dedupe mode. Insycle, Cloudingo, DemandTools, and Openprise work mainly on data that is already in your systems.
Which of these work with HubSpot?+
Operelio, Insycle, Dedupely, and Clearout work with HubSpot, and Datablist can reach it through Zapier or Make. Cloudingo is built for Salesforce and Adobe Marketo only, and DemandTools is Salesforce-native, so neither is a HubSpot option.
Is CRM data cleansing software worth paying for?+
It depends how often you do it. A one-off list is worth cleaning by hand or on a free tier. If you import every week, or you are about to migrate a whole database, the cost of a bad import is measured in duplicate records, wrong owners, and a team that stops trusting the CRM. That is the point at which paying for a tool costs less than not paying.
How current is this list?+
Pricing and positioning here were verified in July 2026 from each vendor's own site, not from third-party directories. Competitor pricing changes, so treat these as a starting point and check each tool's own site before you buy. That is why every figure on this page is dated.
