What the library is
Files is your workspace's home for the spreadsheets you work on. Every file you upload and every result you keep lives here, so you can come back days later and still know what a file is and where it came from.
The library is on Pro, Team, and Agency plans. On Free, a result is available to download right after a job runs, within the Free retention window of 24 hours.
A file and its versions
When you clean a list, format it for a CRM, and verify its emails, all three results stay attached to the file you started from, as versions of it. You get the full history of what happened to a list without ten near-identical uploads cluttering your library.
Open a file to see its versions in order, download any one of them, or carry on from where you left off. The upload you started with is always labeled so you can tell it apart from the results.
Starring the files you reach for
Star a file to keep it for good and pin it to the top of your library. A starred file is held back from the retention window below, so it stays until you unstar or delete it, no matter how long it sits untouched. Star the lists you touch every week, an import you are part-way through, or a file you are about to hand to a teammate. Stars are shared across your workspace, so everyone works from the same starred set.
The lifecycle lens
The library can group your files by where they are in your work: To do, In progress, and Done. This lens is computed from what has actually happened to each file, not a pipeline you have to keep up to date. A file with an upload but no finished result reads as To do; one with results and no recent activity reads as Done.
The lens never locks a file or changes your data. It is a reading of your library's state, so you can spot the lists that still need attention without tagging anything by hand.
Sending a result to Files
Any result can go straight into your library so it joins the file it came from.
Run a tool
Clean, format, verify, or transform a file with any tool.
Send to Files
On the result, choose Send to Files. It is saved as a new version of that file.
Find it later
Open Files from the sidebar. The file shows your original upload and every version you kept.
Hand a file to a teammate
When a file needs someone to pick it up, add a task to it. A task is a title, a due date, an assignee, and the file it is about, so a handoff is clear without a separate project tool. Anyone in the workspace can assign one, to a teammate or to themselves.
Whoever it lands on sees it in three places: on the file itself, by the tasks bell in the top bar, and in the Tasks panel on their dashboard, grouped by when it is due. One click on the circle marks it done. On Team and Agency, an admin can see every open task across the workspace in one view.
It works just as well as a reminder to yourself. Set a dated task on a file, say "re-verify this list before the July send", and it waits quietly, then shows up as due on your dashboard and by the bell when the date comes. It is a light way to keep list hygiene on a schedule, not a project manager: no status columns to maintain, and an overdue task is a soft amber note, never a red alarm.

How long files are kept
Retention runs from when a file was last active. Working on a file keeps it around; the window is how long an untouched file stays before it is cleared. Starred files are exempt: a star keeps a file until you remove it, however long it sits.

Star a file to keep it past the retention window, or download anything you want to hold onto. Retention clears untouched, unstarred files; it is not a backup to rely on.
Frequently asked questions
Is my original changed when I run a tool?
No. Every tool writes a new file. Your original upload stays exactly as it was, and each result is kept as a separate version of it.
Why are my results grouped under one file?
Because they came from it. Keeping a file and its versions together gives you the history of a list in one place, instead of a pile of near-identical uploads.
Do stars or the lifecycle lens change my data?
No. Starring pins a file in your library, and the lifecycle lens is computed from your file's history. Neither one edits, locks, or moves your data.
Will Operelio email me when a task is due?
No. When a teammate assigns you a task or marks one done, you get a notification in the app, by the bell. Due dates surface on your dashboard and by the bell, and there are no email reminders.
What happens when a file reaches the end of its retention window?
It is cleared from your library, unless you have starred it. Retention counts from when a file was last active: 30 days on Pro, 30 days on Team, and 90 days on Agency. Star a file to keep it past the window, or download anything you want to keep for good.
